HR SPECIALIST JOB DESCRIPTION

SUMMARY: The HR Specialist is responsible for managing and improving core HR functions across recruitment, onboarding, employee support, compliance, and benefits. This role works closely with departmental managers and leadership to align staffing needs with strategic goals, streamline hiring and onboarding processes, and ensure all new hires are fully equipped and integrated into the organization. The HR Specialist also provides administrative support for performance management, employee relations, disciplinary procedures, and benefit administration. Additionally, the position ensures organizational compliance with federal, state, and local employment laws while fostering a positive employee experience and supporting a culture of continuous improvement.

TERMS/HOURS: Full-time, M-F, 8:00AM-4:30PM.

CLASSIFICATION: Salary/Exempt

WORK AUTHORIZATION: US Person (US Citizen or Permanent Resident)

Pay Range: $60,000-$70,000 annually. (Pay information will vary depending upon relevant experience for the position)

KEY RESPONSIBILITIES:

  1. Recruitment and Onboarding:
  • Preparing first drafts of all job descriptions for departmental review. Coordinate with departmental managers to ensure that job descriptions are aligned with departmental needs.
  • Coordinating all recruiting, interview, and hiring efforts. Devise recruiting strategies to improve existing recruiting processes and procedures.
  • Handling all employee onboarding and offboarding, including offer/termination letters, background checks, orientations/exit interviews, benefits overviews and documents, ensuring all equipment and other materials necessary for the role have been ordered/returned, etc.
  • Get new hires set up on company equipment: email signatures that follow companywide format, establish new hires as destination on copier, and in Norbut contacts.
  • Sending new employees all documentation regarding current procedures: timesheets, mileage tracking, VPN instructions, massage booking instructions, etc.
  • Informing all team members of new hires.

  1. Administration and Employee Support:
  • Coordinate with departmental managers to document KPI's, the employee progress towards achieving KPI's, notes on areas of improvement, performance, and development plan (PDP) etc.
  • Facilitate with departmental managers all performance development plans/PIP meetings with low performing employees. Assist in developing performance development plans.
  • Monitor and facilitate disciplinary actions, as per employee handbook guidance.
  • Procuring and setting up all new employee equipment, including but not limited to monitors, keyboards, mice, necessary cables, docking station, safety equipment (vests, hardhats, safety goggles), business cards, FOBs, etc.
  • Updating company information including the company contacts and organizational chart with contact information.
  • Working with third parties to order and configure new company phones and computers and Office accounts. Distributing personal information such as passwords, phone numbers, and extensions following initial onboarding.
  • Overseeing employee PTO, including ensuring proper tracking and approval of extended time off.
  • Continuously evaluating current employee benefit plans to ensure they are competitive and provide value to both employees and the company.
  • Coordinating with the Farm Manager on employee reviews, recruitment requirements, and compensation adjustments for both full-time and part-time farm employees.
  • Work with vendors to select company clothing, create, distribute, and compile employee orders and order forms, and order company clothing on an as needed and annual basis.

  1. Compliance and Talent Management:
  • Staying abreast of changes to employment-related regulations and best practices and working with colleagues to update Company Policies accordingly.
  • Facilitate and manage the annual performance review cycle for all full-time employees.
  • Ensuring an understanding of all farm employees and their employment status.
  • Ensure existing PTO & Benefits are compliant with relevant local and federal laws and regulations. Working with employees and handling any reporting with respect to other employee leave as may be applicable like FMLA, etc.
  • Track and document all workplace accidents and injuries; compile data for annual OSHA 300 log filing and ensure timely posting as required by OSHA regulations.

KNOWLEDGE/SKILLS/EDUCATION:

  • A bachelor’s degree in Human Resources.
  • PHR, SHRM-CP, preferred.
  • Understanding of HR principles, employment laws, and HR best practices.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office Suite or similar software and HRIS platforms.
  • Ability to multitask several projects at a particular time and highly organized.

MINIMUM EXPERIENCE:

  • 3-5 years of experience in an HR coordinator, generalist, specialist role.

SUPERVISORY FUNCTIONS:

  • None

PHYSICAL REQUIREMENTS:

  • Regularly required to stand, walk, and sit for extended periods during the day.
  • Ability to lift and/or move up to 25 pounds, with occasional lifting up to 50 pounds.
