Client Title: Support Specialist
Hours: Hours: 8 AM - 5 PM w/ 1-hour lunch
Days: Monday-Friday
Term of Contract: Long-term/ongoing with no end date
Pay Range OR Rate: 24.53- 33.73 per hour DOE
PTO, Sick Pay, and Holiday Pay are offered.
Position Overview: We are seeking a highly organized and detail-oriented individual to support our department's daily operations and contribute to a range of key tasks. This role offers the opportunity to work closely with both internal teams and our central team in Germany.
Key Responsibilities:
Manage and maintain the department's calendar and scheduling.
Oversee office operations and handle the department's budget management.
Attend department meetings, document key discussions, and circulate meeting minutes.
Create and design presentations and assist in organizing meetings for both leadership and team members.
Process and submit purchase orders through SAP.
Coordinate all travel arrangements through Concur.
Collaborate with the central team in Germany on various projects and tasks.
Preferred Qualifications:
Proficiency in German is a plus, but not required.
Additional Information:
This position is fully onsite; remote work is not available.
Position Scope:
The position provides a variety of advanced administrative support to the assigned department at the plant.
Performs and coordinates administrative tasks (word processing, document preparation/management, and file maintenance as required) related to the daily activities of the department.
Coordinates preparation of records such as agenda, notices, minutes, and LOP for department management team weekly meeting.
Assist with department budget, training records, travel arrangements, expense reports, office supplies, and record retention.
Coordinates management workshops.
Maintains department web page.
Maintains time administration for management.
Creates purchase orders and processes invoices to Accounts Payable.
Handles special projects related to the department.
Schedules and organizes activities such as meetings, meeting documentation, and video conferences for members of the department.
Supports management to maintain target achievement and task completion as assigned.
Handles confidential information and material.
Monitors and communicates to managers deviations on Budget Variance reports, forecasting reports, and SAP activities for the department.
The department target/status system update.
Performs other duties as assigned by the operations supervisor.
Education:
High School Diploma or GED equivalent.
Associate degree is a plus.

Experience: 3+ years of related administrative procedures
