Job Title: Scanner/Mail Administrator, Part Time

Location: Reston Virginia 20190

Duration: 3 months Contract

Standard Hours Per Week 16.00

ON SITE in RESTON - Each Tuesday & Friday

Assignment Details:

  • This team is moving currently outsourced scanning/mail room duties inhouse. They receive mail for Students with Disabilities such as medical records that must be securely handled: opening mail, scanning, logging, and securely disposing/filing.
  • They know that Tuesdays are the anchor days for the weekly collection of mail items (some are faxed) to process and Friday is the best second day (as not let items set longer than a few days).
  • The position "could" evolve to more overtime, but always part-time. It is unknown at this time.
  • Profile Must haves:
  • need a person who is located in proximity to the Reston location as the work must be done onsite.
  • selected person must "want" part time by choice....either complimenting another PT role or that is their bandwidth. It is not ideal for a person who wants full-time work and settling for part-time.
  • ideal candidate will have worked with medical records, scanning, and mailroom experience.
  • the selected candidate will have the experience along with being dependable, flexible (new role), communicative and provide good ideas and feedback.

About the Team

The Operations Division at is focused on leading the organization’s transformation to support delivery of digital assessments. The division aims to provide a strong customer engagement and world-class digital assessment delivery experience that supports millions of students and thousands of schools and test centers annually. The 70-person Assessment Delivery department is a combination of sub-teams that support Test Administration Management, Supply Chain & Logistics, and Publications and Content Management. This role will be the Associate Director of SSD Experience that falls under our Supply Chain Management team.

About the Opportunity

As the Administrative Support, SSD Experience, you will be responsible for scanning and tracking inbound mail related to Services for Students with Disabilities (SSD). You will apply great attention to detail as you receive, catalog and scan these materials. This process is a critical step in ensuring students are able to test with appropriate accommodations on all of the, including Advanced Placement (AP), SAT and PSAT – National Merit. The mail will include Student Eligibility Forms as well as a wide range of other potentially sensitive materials (e.g. student medical records).

Because this is a new process at, there is some uncertainty around specific volumes. As a result, hours may fluctuate week to week depending on workload. Much of the application volume (which will drive this volume) ramps up dramatically as we approach Fall deadlines.

In this role, you will:

Support Accommodation Management incoming mail (80%)

  • Receive and log incoming mail into a SmartSheet tracker
  • Scan mail into a digital format
  • QC scans to ensure legibility and completeness
  • Securely file physical materials for storage
  • Provide information upon request related to previous inbound mail

Complete Special Projects (20%)

  • Establish new metrics to monitor and control key performance indicators
  • Internalize and incorporate feedback to drive operational efficiencies for accommodations requiring paper testing
  • Tackle on-off project (with clear direction)
