Job Description

An Ultra-High-Net-Worth (UHNW) family based in New York City is seeking a highly professional, discreet, and detail-oriented Personal Assistant to support the principals and their family office.

Key Responsibilities:

  • Serve as primary point of contact for the principals’ day-to-day personal matters
  • Manage complex calendars, appointments, and schedules (both personal and professional)
  • Coordinate domestic and international travel, including private aviation, hotels, itineraries, and visas
  • Liaise with household staff, vendors, and service providers to ensure smooth household operations
  • Oversee personal errands, shopping, and gifting (including sourcing, wrapping, and delivery)
  • Event planning and coordination, including private dinners, family functions, and special occasions
  • Maintain confidentiality and security of sensitive family and business information
  • Handle expense reporting, petty cash reconciliation, and basic bookkeeping as needed
  • Monitor and manage household inventory and supplies
  • Ensure proactive problem solving and support in emergencies or unexpected situations

Qualifications:

  • Minimum 5 years of experience in a Personal Assistant or Executive Assistant role for UHNW individuals or family offices
  • Strong knowledge of NYC and surrounding areas (restaurants, vendors, services, etc.)
  • Ability to work flexible hours, including occasional evenings and weekends
  • Highly discreet with a commitment to confidentiality and professionalism
  • Excellent written and verbal communication skills
  • Strong attention to detail and organizational skills
  • Tech-savvy with proficiency in Microsoft Office, Google Workspace, and modern communication tools
  • Bachelor’s degree preferred but not required
  • Valid driver’s license and passport preferred
