About the Role

We are looking to add a part-time Scheduler & Administrative Coordinator to our team. The Scheduler & Administrative Coordinator plays a vital role in managing student and tutor schedules; finding the best tutor or coach for each of our students; communicating with tutors, clients, and our administrative team; research; and keeping systems running smoothly by supporting our leadership team. The Scheduler & Administrative Coordinator works closely with our Program Coordinator and our Tutoring Team Lead and acts as our team's primary scheduling support.

While this is a primarily remote position, it requires being available in person in NYC a few days per quarter for meetings and team events.

What you’ll be responsible for:

  • Matching new students with tutors and executive functioning coaches on our team 
  • Creating and managing tutor schedules based on student and tutor/coach needs
  • Maintaining clear and consistent communication with tutors/coaches, clients, and our administrative team
  • Supporting the tutors/coaches, administrative team, and leadership by keeping systems operating smoothly, including identifying pain points and researching and proposing improvements
  • Learning from and sharing your knowledge with other members of our team
  • Other administrative tasks as-needed at the request of the administrative team and leadership

Requirements:

  • Associate’s Degree (or higher)
  • 25 hours of weekly availability with reliable phone and internet access
  • Choose between two shift options: either 9:30am-2:30pm OR 11am-4pm ET Monday-Friday
  • Understanding that vacation time will not be granted from 8/1-9/15 each year because it is our peak fall scheduling season and the period of highest demand for this role
  • Availability to be in NYC at least 3x/quarter for meetings and team events
  • Either previous experience in a Scheduler role in which you successfully managed highly complex scheduling – OR – Executive Assistant or Program Coordination experience that required managing multiple calendars, schedules, and logistics (eg. transportation, researching and booking venues, planning routes and travel times)
  • Adept with GSuite (gmail, docs, sheets, calendar) and Zoom
  • Ability to communicate clearly and concisely in writing

Pay: $20 - $22 an hour commensurate with experience
