Job Summary
The purpose of this position is to oversee the operations and maintenance of our Andover office. It will be responsible for day-to-day management of a range of functions, including building administration, maintenance, safety, security, vendor management, and more. This role is responsible for creating a safe, efficient, and well-maintained environment for our employees and customers. Role will report to Facilities Manager within the organization of the Head of Operations.
Essential Job Duties:
● Oversee the day-to-day operations of the company's facilities for up to 30 hours per week, including maintenance, repairs, and renovations.
● Responsible for supporting: Office space, Testing Lab, Studio and Forecasting Operation space. 100+ Employees
● Operates the badging and security systems, including preparing visitor badges prior to arrival
● Coordinate visitor management
● Resolve all Facilities tickets submitted on a timely basis and address any employee needs / concerns regarding office operations.
● Helps plan, organize and execute special office functions such as client visits, team meetings, office social events and other ad hoc events.
● Manage seating charts
● Oversee and support any modification or repair work being conducted on site
● Ensure Kitchen / common areas including refrigerators are being kept clean, taking down any ‘old’ posters
● Manage any purchasing/licensing needed for office for food, beverages & other services
● Maintain & update messaging content for TVs in office
● Manage any purchasing needs for basic regular office and ad hoc supplies including in office food, beverages & other services
● Assist in planning, training and execution of crisis management plans
● Provide administrative and/or limited technical support as needed
● Assist IT in delivery of site services or to monitor site conditions
Basic Qualifications (minimum requirements needed to perform this job)
● Proven experience as a Office Manager, Site Coordinator or a similar role
● Professional attitude and appearance with a positive customer-service attitude
● Excellent verbal and written communication skills
● Reliable scheduling & execution of deliverables
● Proficiency in facility management software, Google and MS Office Suites.
● Strong organizational and project management skills.
● Excellent communication and interpersonal skills.
