Job Description

Are you detail-oriented, organized, and ready to play a critical role in driving the success of multi-family construction projects? We’re looking for a Construction Project Administrator to join our team and support projects from start to finish. This role works cross-functionally with Project Managers, Customer Service Managers, Accounting, and our Installation Team — ensuring projects are completed efficiently, on time, and on budget.

The ideal candidate will have experience with construction, pay applications, billing, and AIA contracts.

What You’ll Do

  • Collect and organize field completion certificates to generate accurate billings.
  • Prepare and review customer billings, vendor payments, and cost projections.
  • Monitor project financials, ensuring accounts receivable goals are met (30 days outstanding).
  • Support Project Managers with reporting, project performance tracking, and vendor coordination.
  • Oversee billings, change orders, and contract input to ensure project and company success.
  • Manage document control, AIA contracts, pay apps, and reporting processes.
  • Participate in vendor bids, operations meetings, and strategic project reviews.
  • Troubleshoot risks, “out of scope” issues, and support continuous process improvement

What We’re Looking For

  • Experience: 3–6 years in construction project administration or a related role, with at least 3 years of relevant accounting experience.
  • Skills: Strong attention to detail, excellent math and problem-solving skills, and the ability to spot inconsistencies before they become issues.
  • Tools: Proficiency in Microsoft Office Suite (Excel, Word, Outlook a must).
  • Knowledge: Solid understanding of accounts payable/receivable, financial reporting, and construction processes.
  • Traits: Excellent communicator, collaborative team player, highly organized, able to manage multiple priorities simultaneously.
