Job Summary


Primary focus
of the job is to provide administrative support for the Business Development department. Serve as the primary point of contact for scheduling and calendar management for the VP for Admissions and Business Development. Primary support will be focused on the Business Development and Continuous Improvement offices. Assist and support other BD team leads / directors with requests related to check requisitions, event/meeting coordination and planning, and other administrative tasks as needed.

Primary duties include taking phone calls, Microsoft Outlook calendar management, handling and preparing written and digital correspondence, managing digital and analog files, and operating basic office machines.

Secondary focus of the position is to provide administrative support to the Admissions Operations team. Support Operations team with data entry and management .

Secondary duties include data entry and file management in the Admissions CRM software (Slate).

Essential Job Functions
  1. Provide administrative support for Admissions and Business Development departments.
  2. Serve as office point of contact for scheduling and calendar management for VP for Admissions and Business Development.
  3. Manage day-to-day office environment including professionally handling phone calls, scheduling meetings, organizing documents, managing correspondence, travel arrangements and itineraries, scheduling and calendar management, and basic tech support.
  4. Meeting and event management for BD team leads – coordinates and prepares for meetings, reservations and amenities (food, whiteboard, flip charts, etc.), set up and room prep, and coordinating remote call-ins.
  5. Review, prepare, and submit requisitions and expenses to the Business Office.
  6. Prepare monthly Concur expenses reports for Business Development leadership team.
  7. Contribute to the data entry efforts of the Admissions Operations team.


Required Qualifications:

Education & Experience


This position requires a high school diploma. An Associate’s or other college degree is preferred, plus three to five years of prior experience in a business office environment or an equivalent combination of education and experience sufficient to demonstrate the ability to perform the job.

  1. Knowledge of office practices and procedures.
  2. Knowledge of Windows and Microsoft Office, Excel, Outlook Calendar.
  3. Proficiency with Google Docs and cloud storage (Box).
  4. Possess good organizational skills, attention to detail, and sound judgment.
  5. Ability to work in a fast-paced environment with deadline pressures while maintaining high accuracy and efficiency.
  6. Possess good interpersonal skills in dealing with College staff and supporters over the phone and in person.
  7. Ability to keep calm and maintain a calm, personable, and cheerful demeanor while handling multiple tasks on a deadline.
  8. Excellent grammar, writing, and editing skills (Writing samples may be requested).
  9. Basic understanding of accounting—Spreadsheets, expense reports, budget reconciliation.
