Job Title: Program Coordinator

Location: Chicago, IL

Industry: Nonprofit

Compensation: $24.00 – $30.00 / Hourly

Work Schedule: 35-hour work week; hours vary based on events. Before program: 2 days onsite; During program: 4 days onsite; After program: 2 days onsite. Some evenings and weekend events required.

Job Description:

The Program Coordinator will provide logistical and administrative support for a seasonal international program. This position involves event planning, vendor coordination, participant support, and assistance with financial tracking and reporting. The role is highly visible, requiring strong organizational skills, cultural sensitivity, and the ability to adapt in a fast-paced environment.

Key Responsibilities:

  • Coordinate logistics for pre-program, program, and post-program phases, including housing, travel, catering, and vendor management.
  • Manage program communications, such as participant updates and mentor pairing information.
  • Prepare materials including welcome packets, program guides, and event signage.
  • Support event setup, breakdown, and on-site execution, including evening and weekend activities.
  • Oversee program inbox and data management across multiple platforms.
  • Assist with procurement, expense tracking, and reconciliation of program costs.
  • Serve as a point of contact for logistics and event-related inquiries.

Qualifications:

  • 2+ years of experience in event coordination, program support, or logistics.
  • Strong communication and organizational skills with exceptional attention to detail.
  • Ability to handle multiple priorities and work effectively under pressure.
  • Proficiency with Microsoft Office; experience with Mailchimp or WordPress is a plus.
  • Flexibility to work evenings and weekends as required by program schedule.
