What You’ll Do

To assist in maintaining the company’s high level of streamlined operations the Personal Assistant will support the CEO by managing schedules, coordinating travel, handling personal and professional errands, and preparing correspondence and reports. This role requires a high degree of professionalism, discretion, and adaptability, as well as the initiative to manage a variety of tasks independently. By providing this essential support, you’ll play a key role in helping the CEO stay focused and effective, while upholding the high standards that iBuy expects of all team members.

Job Responsibilities

  • Completes a variety of administrative and personal tasks for the CEO to include, but not limited to: overseeing schedules/calendars, managing personal and professional errands, etc.
  • Sitting in on meetings and taking organized notes.
  • Answering phone calls and emails, screening incoming messages, and forwarding messages/calls to appropriate parties.
  • Handling sensitive or confidential information responsibly and exercising sound judgment in high-pressure or sensitive situations.
  • Assisting with event preparation, small projects, etc.

Job Requirements

  • MUST be available at ALL hours and be willing to commute to and from the office with the CEO (based in Brooklyn, office in NJ).
  • Preferably located in Brooklyn, NY.
  • High level of proficiency using Microsoft office including Word, Outlook and Excel.
  • Must work well under pressure, have excellent organizational abilities, set and meet deadlines, and be able to manage several priorities in a day.
  • Must have robust verbal and written communication skills, and attention to detail.
  • Must be detail and results oriented and be able to multi-task in a fast-paced environment.
  • Ability to handle and maintain the confidentiality of highly sensitive information.
