Job Description

I’m seeking an exceptional Personal & Executive Assistant to help manage the administrative and operational aspects of my professional and personal life, allowing me to focus on my creative work as a writer and startup executive. This role requires someone who thrives bringing order to complexity and takes genuine satisfaction in making someone else’s life run smoothly. Primary responsibilities:
Professional Support

- Manage speaking engagement logistics, including correspondence, scheduling, and follow-up

- Coordinate with agencies and event organizers

- Update and maintain professional profiles (LinkedIn, speaking engagement websites)

- Handle invoicing and client communications

- Manage website maintenance and updates

- Manage social media accounts, post creation and scheduling, and DMs

Administrative Management

- Process and prioritize incoming emails and communications

- Organize and maintain digital filing systems

- Handle subscription and service renewals (software licenses, memberships, etc.)

- Manage calendar and scheduling

- Draft correspondence and communications

Personal & Household Support

- Coordinate appointments and personal errands

- Research and resolve issues (Apple charges, service providers, etc.)

- Manage financial tasks including tracking donations and expenses

Ideal Candidate

- Exceptionally organized , with meticulous attention to detail

- Resourceful problem-solver who can figure things out independently, solutions-oriented with a “can-do” attitude

- Proactive rather than reactive—anticipates needs before being asked. Takes initiative without needing constant direction, self-directed, able to work independently

- Discreet and trustworthy with personal and professional information

- Social media and tech-savvy with ability to quickly learn new platforms and tools

Skills & Experience

- Strong written and verbal communication skills

- Proficiency with task management tools (Todoist or similar), calendar systems, and Google Workspace

- Experience managing multiple priorities and competing deadlines

Logistics

- Mostly remote position with totally flexible hours (5-20 hours per week)
