Job Opening: Bookkeeper/Office Manager at a Dynamic Engineering Firm in NY

Location: Financial District in New York City, NY

Type: Full-time

Salary: $60,000 - $80,000 per year

We are a dynamic engineering firm with over 20 years of success in the industry, seeking a dedicated and organized Bookkeeper/Office Manager to join our team. This role is vital to our operations, ensuring the smooth functioning of both our financial and administrative activities.

Key Responsibilities Bookkeeping:
  • Manage accounts payable and receivable
  • Process payroll
  • Perform bank reconciliations
  • Handle invoicing
Administrative Duties:
  • Prepare and submit government reports
  • Compile monthly labor utilization reports
  • Renew and maintain professional licenses for design professionals and company business registrations and certificates
  • Serve as an assistant to the president of the company
  • Coordinate with HR and accounting firms
  • Ensure all certificates and records are kept up to date
Office Coordination:
  • Coordinate and organize office activities and events
  • Oversee stock of office supplies and manage orders
  • Greet visitors warmly and professionally
  • Manage inbound and outbound office mail
  • Answer inbound phone calls with a friendly demeanor
  • Support HR in scheduling meetings, interviews, and transport logistics
Qualifications
  • Bachelor’s degree in a business-related field, accounting preferred
  • Basic knowledge of US tax regulations
  • Proficiency in Microsoft Office Suite, QuickBooks online
  • Strong organizational skills and ability to multitask
  • Excellent communication skills, both verbal and written
  • Friendly and professional demeanor to interact effectively with visitors and team members
  • Capability to work closely with the president of the company
  • Experience with administrative and clerical work
  • Willingness to work additional hours when required
