Job Description

We are looking for a highly skilled and motivated Executive Assistant to join our team and support our Executive team. The ideal candidate will be a proactive, detail-oriented professional with a high sense of urgency and exceptional organizational skills. This role requires expert knowledge of Microsoft Excel, proficiency in Canva, Microsoft Powerpoint, and familiarity with the mortgage loan guidelines and process. Mastery of time and project management, as well as excellent communication skills, both verbal and written, are essential. Responsibilities: Administrative Support: • Create system logins for new users and reset logins when necessary • Conduct onboarding meetings via Zoom with new loan officers and support staff • Prepare and organize meeting agendas, materials, and presentations • Complete lender/broker approval packages as necessary • Handle confidential information with discretion Data Management and Reporting: • Utilize Microsoft Excel and Google Sheets for data collection, organization, and reporting • Maintain LOS compliance as necessary at both the user and loan levels • Reconcile loan data on all closed loans in a timely manner to ensure accurate reporting • Create and maintain comprehensive databases and spreadsheets. • Generate insightful reports and analyses to support decision-making Design and Presentation: • Create visually appealing presentations and materials using Canva and Microsoft PowerPoint • Ensure all presentations align with company branding and communication standards Project Management: • Oversee and track multiple projects simultaneously, ensuring deadlines are met • Collaborate with internal and external stakeholders to drive project success • Implement efficient processes and workflows to enhance productivity Communication: • Draft and edit correspondence, reports, and presentations • Liaise with clients, partners, and team members on behalf of the CEO • Ensure timely follow-up and follow-through on all tasks and communications Qualifications: • Bachelor’s degree in Business Administration, Communications, or related field • Minimum of 3 years of experience as an Executive Assistant or similar role • Minimum of 2 years as a Loan Officer Assistant or similar role in the mortgage industry • Expert proficiency in Microsoft Excel, including advanced functions and data visualization • Strong project management skills with a proven track record of successful project delivery • Advanced skills in Microsoft PowerPoint for creating impactful presentations • Excellent oral and written communication skills • High attention to detail and exceptional organizational skills • Ability to maintain confidentiality and handle sensitive information • Strong follow-up and follow-through abilities • Proactive, self-motivated, and able to work independently About Company: Patriot Pacific Financial Corp is a leading mortgage brokerage firm committed to delivering exceptional service and unparalleled expertise to our clients.
